Clubs & associations

Members and events, one system

Membership terms that renew themselves, member numbers you can file by, invoices your treasurer accepts, and roles so the committee shares the work — not the password.

In short

How does TixFin work for clubs and associations?

A club has two jobs a ticketing tool usually ignores: keeping members and keeping books. TixFin handles both in the same place. A ticket type flagged as a membership carries a term in months from purchase, an optional grace period, auto-renewal and renewal reminders, and every member gets a unique member number plus a lifetime tier. Every order produces an invoice with ZUGFeRD 2.x XML and a DATEV-oriented CSV export, and project roles let the whole committee work without sharing one login — with an audit trail behind every change.

  • Membership terms with grace period and auto-renewal
  • ZUGFeRD invoices with DATEV export
  • Committee roles with a full audit trail

Capabilities

What you get for a club

  • 01

    Memberships as ticket types

Mark a ticket type as a membership and it gains a term in months from the purchase date, so dues and event tickets share one inventory and one checkout.

  • 02

    Grace period and renewal

An optional grace period lets a lapsed membership be reactivated after expiry, auto-renewal handles the rest, and reminders go out before the term ends.

  • 03

    Member numbers and tiers

Every member carries a unique member number and a lifetime tier with escalating benefits, plus Active, Expired and Cancelled status with full history.

  • 04

    Bookkeeping that posts

ZUGFeRD 2.x XML per invoice, a DATEV-oriented CSV export, and configurable revenue, contra and cost-centre accounts instead of hard-coded ones.

  • 05

    Bank transfer at the counter

Members who pay by transfer place the order as a bank transfer, get a reference, and stay pending until the treasurer confirms the money arrived.

  • 06

    Roles for the committee

Platform roles, project roles and custom role templates with fine-grained permissions, so the box office, the treasurer and the chair each see their own scope.

Challenges

What clubs actually struggle with

  • The spreadsheet is the system

Members, dues and event sign-ups live in three files that only one person maintains — and that person eventually steps down.

  • The treasurer needs real documents

A payment list is not bookkeeping. Dues and ticket revenue have to arrive as invoices the accountant can actually post.

  • Everyone shares one login

Volunteers rotate every season, and a single shared account means nobody can tell who changed what.

Handover-proof

The next committee inherits a system, not a folder

Refund requests, ticket status changes, role and invitation changes and discount campaigns are logged centrally and visible as an audit trail. When the board changes, the record of what happened stays — which is exactly what a shared spreadsheet cannot offer.

Workflow

Setting up a club

  1. 01

    Create the project

The club becomes its own tenant with members, settings, branding and a shop on its own subdomain.

  2. 02

    Define the membership

Flag a ticket type as a membership and set the term, grace period, auto-renewal and tier benefits.

  3. 03

    Fill the billing profile

Enter the seller data, bank details and DATEV account mapping once so every invoice comes out complete.

  4. 04

    Invite the committee

Send invitations, assign a role per person, and grant only the permissions each job needs.

FAQ

Questions from clubs

  • Yes. A membership is a ticket type flagged as such, so it uses the same inventory, checkout and reporting as a normal ticket while adding a term, renewal behaviour, a member number and lifetime tiers.
  • An optional grace period allows reactivation after expiry, renewal reminders are sent before that point, and auto-renewal handles it silently where it is configured. Renewals also work manually and at the on-site POS terminal.
  • Every invoice produces ZUGFeRD 2.x compliant XML in the MINIMUM profile, and a DATEV-oriented CSV export is available from the billing dashboard. Revenue account, contra account and cost centre are configured per project.
  • Yes. Members are invited individually and assigned a role. Beyond the platform and project roles, custom role templates can receive fine-grained permissions, and important administrative actions are recorded in the audit trail.
